Who we are

Small Pet Bookings is an online booking system for small animal boarders. It is run by Redbeck Rabbit Boarding, Bradford, West Yorkshire. You can contact us about anything on this page at hello@smallpetbookings.co.uk.

Whose data it is

Your customers' data belongs to you, the boarder. When your customers book with you, you decide what to collect and how to use it. In data protection terms you are the controller of your customers' data, and we are your processor: we store and process it only to run the booking system for you, and only on your instructions.

We never sell your customers' data, never contact your customers for our own purposes, and never use their details for marketing.

Your own account details (your name, business details and login) are held by us so we can provide the service and bill you. For those we are the controller.

What we hold

About you, the boarder

• Your business name, your name, town, phone number and email
• Your logo and the settings for your booking page
• Your subscription status. Card payments for your subscription are handled by our payment provider and we never see or store your full card number.

About your customers, on your behalf

• Name, email address and phone number
• Pet names, the animal type, dates of stay, accommodation and extras chosen
• Feeding, health and handling notes the customer chooses to give
• Vaccination cards, where you ask for them
• Booking references, prices, deposits and payments you record

We do not hold your customers' bank or card details. Customers pay you directly, so no payment details pass through Small Pet Bookings.

Vaccination cards and health notes

Vaccination cards and health notes are about pets, not people, but they sit alongside the owner's name and contact details, so we treat them with the same care as personal data.

• Only you, and anyone you give a login to, can see the cards and notes for your bookings.
• Cards are stored privately. They are never published or shared through a public link.
• Only image and PDF files are accepted.

Where it is stored

Small Pet Bookings runs on Cloudflare, a large international hosting provider. Your data is stored in Cloudflare's systems and protected by their security. Cloudflare may process data outside the UK; where it does, it is covered by the data transfer safeguards set out in Cloudflare's own data processing terms.

How we protect it

• Every page is served over an encrypted connection.
• Each boarder's bookings and customers are kept separate. A boarder can only ever see their own.
• Logins are needed for everything except your public booking page.
• Access by us is limited to providing the service and support you ask for.
• Data is backed up so it can be recovered if something goes wrong.

How long we keep it

While your subscription is active, we keep your bookings and customer records until you delete them. You can delete a booking, or a customer's records, at any time, for example when a customer asks you to.

We suggest you keep records only as long as you need them for your business and your records.

If you cancel

• Your booking page goes offline at the end of the month you have paid for.
• You can download all your bookings, customers and settings at any time, including after cancelling, for 30 days.
• 30 days after your subscription ends, we permanently delete your customers' records, bookings and vaccination cards.
• Backups containing your data are overwritten within a further 30 days.
• If you only ever set up and previewed your page without going live, you can ask us to delete your account at any time.

Suppliers we use

• Cloudflare: hosting, storage, security, sending booking emails, and the helper that answers questions on this site
• Our payment provider: takes your subscription payments. Your customers' payments never go through us.

The helper in the corner of our pages answers from our Help page only. Please don't type personal details into it.

Your rights

You can ask us for a copy of the data we hold about you, ask us to correct it, or ask us to delete it. Email hello@smallpetbookings.co.uk.

If one of your customers asks us about their data, we will pass the request to you, because it is your customer's data and you decide how to respond. We will help you answer it.

If you are unhappy with how we handle data, you can complain to the Information Commissioner's Office at ico.org.uk.

Early list and enquiries

If you join the early list or email us, we keep your name, business name, contact details and what you tell us about your business. We use it only to contact you about Small Pet Bookings. Ask us at any time and we will delete it.

The demo

Anything you enter in the demo, including a logo, stays in your own web browser and is never sent to us. Clearing your browser removes it.
